Podium and Birdeye alternatives: how to choose review software

Quick answer

Decide whether you want software you run yourself or a done-for-you service. Then compare total monthly cost, contract length, texting setup, Google profile tools, and whether every customer gets the same review link.

Why businesses look for alternatives

Large platforms like Podium, Birdeye and NiceJob bundle many tools. Some small businesses find they pay for features they never use, or don't have time to run the software themselves. Prices and features change often, so check each provider's current plans.

First question: software or service?

  • Software: you get the tools and do the setup, sending and replies yourself.
  • Done-for-you: a team sets it up and runs the review requests, replies and posts for you.

Checklist for comparing review request software

  • Total monthly price, setup fees and contract length.
  • Automatic requests after each job, from your CRM or through Zapier.
  • Text and email, with proper texting registration handled.
  • Follow-ups that stop once the customer clicks.
  • Review replies and Google Business Profile tools.
  • No review gating: every customer gets the same link.
  • Clear reporting on requests, clicks and new reviews.

Questions to ask on a sales call

  • Can I cancel anytime?
  • Who writes my review replies?
  • What happens to my data if I leave?
  • Do you filter customers by rating before sending to Google?

Total cost: look past the monthly price

Compare the full cost over a year: setup fees, texting fees, per-location fees and add-ons. Ask whether texting registration is included, because US carriers require businesses to register before sending marketing or customer texts, and that process takes time.

How much time will it take you?

Software saves money only if someone actually uses it. Be honest about who will import contacts, connect your CRM, write messages and reply to reviews each week. If the answer is 'nobody', a done-for-you service may cost less in the end.

Integrations that matter

  • Your field service or booking software (Jobber, Housecall Pro, ServiceTitan and others).
  • Zapier or webhooks, so new jobs trigger requests automatically.
  • Google Business Profile, for syncing and replying to reviews.
  • Your website, for showing reviews in a widget.

Red flags when comparing tools

  • Long contracts with automatic renewal.
  • Review gating presented as 'reputation protection'.
  • No clear way to export your contacts and reviews.
  • Promises of guaranteed rankings or a set number of reviews.

What matters for different kinds of businesses

  • Home services (plumbing, HVAC, roofing, cleaning): requests that go out automatically from your job or invoicing software when a job is closed.
  • Appointment businesses (dentists, salons): cooldowns so regulars aren't asked every visit, and careful wording for health-related services.
  • Restaurants: QR codes for walk-in guests, and requests after online orders and reservations.
  • Auto repair: requests triggered when the repair order is closed, and reminders that stop once the customer clicks.
  • Real estate agents: a gentle delay after closing, and an easy way to reach past clients.

Hidden costs to ask about

  • Setup or onboarding fees.
  • Annual contracts or cancellation fees.
  • Per-text or per-message charges on top of the plan.
  • Fees for text message registration with US carriers.
  • Extra charges for more locations or users.
  • Paying for features you won't use, like a full chat inbox or payments.

How much of your time will it take?

This is the question most businesses forget. Software only helps if someone sets it up, connects it to your job system, writes the messages, watches the results and replies to reviews. If nobody on your team has an hour a week for that, a done-for-you service may cost less in the end than software that sits unused.

Whichever you choose, check the basics: every customer gets the same Google link, requests and reminders respect opt-outs and quiet hours, and you can see clearly how many requests went out and how many reviews came in.

Red flags

  • Promises of a guaranteed number of reviews or a guaranteed ranking.
  • Offers to write reviews for you.
  • A rating question that only sends happy customers to Google.
  • No clear answer about who owns your customer data if you leave.

Questions to ask yourself first

  • How many customers do we serve each month?
  • Where do customer names and contact details live today: a CRM, invoicing tool, spreadsheet?
  • Do we want to text customers, email them, or both?
  • Who will reply to reviews?
  • Do we need help with our Google Business Profile, posts and photos too?
  • What can we spend each month, including texting costs?

Running a fair trial

If you can, run any tool or service for a month with all your customers before deciding. Track three numbers: how many requests went out, how many customers clicked, and how many new reviews appeared. Also notice how much of your own time it took. A tool that gets good results but needs hours you don't have isn't the right fit, and neither is one that's easy but sends few requests.

Switching from another provider

If you're moving from another review tool, export your customer list first, including opt-outs, so nobody who asked to stop receives messages again. Your existing Google reviews stay on your Google Business Profile; they don't belong to the software. Check whether your current texting number can move with you, and plan the switch for a quiet week so no completed jobs are missed during the changeover.
